Employment Agencies Guide to Employers Constructing Selection Reports for Candidates

Whether a candidate was successful or not in gaining employment from an employer, well constructed selection reports provide detailed reasons as to their strengths and weaknesses while also providing their employment agencies with solid feedback.

A selection report must satisfy three set criteria:
1. Firstly it provides the employer with information on which to make a decision, including the process used, outcomes, who the high performing candidates were and the reasons for the recommended outcome.
2. Secondly it provides an account of the selection process that demonstrates compliance with policy and statutory requirements such as the merit principle and equal opportunity legislation.
3. Thirdly, it can be used as a basis for feedback to candidates.

Employment agencies use selection reports as a review tool to assess the entire process from the employment advertisement, the selection techniques and the conclusions of the employer.

This is particularly beneficial if candidates were unsuccessful as selection reports may show where the process went wrong, whether it was in a poor employee/employer match by the employment agencies or whether there were simply better candidates.

In order for employers to provide effective and detailed selection reports, certain documents should be collected such as CVs, summary of short listing method, record of interview, referee checks and any test results.

As an employer, you must firstly check your agency policy for selection reports format however the most important thing to note is that employment agencies and candidates will need to see comparisons of the candidates, but preferably not by name, merely as "successful candidates" etc.

Employers should summarise the relevant merit of candidates as it makes it much easier should an applicant request their section of the report.

Employers should also rank candidates if the first choice declines an offer.

Essentially, selection reports are designed to provide effective feedback to candidates and employment agencies while assisting employers to make employment decisions.
